Human Resources Administrative Assistant – Albuquerque, NM
Rodey Law Firm is seeking a detail-oriented and proactive Human Resources Administrative Assistant to join our HR department. This role is crucial in ensuring the smooth operation of HR functions within our law firm. The ideal candidate will possess strong organizational skills, impeccable attention to detail, and the ability to maintain confidentiality in handling sensitive information.
Job Description
- Assist with recruitment efforts, including posting job openings, screening resumes, scheduling interviews, and corresponding with candidates.
- Coordinate new hire onboarding process, including preparing offer letters, organizing orientation sessions, and facilitating training programs.
- Maintain accurate and up-to-date employee records, including personnel files, benefits enrollment, and HRIS database management.
- Process employee status changes, such as promotions, transfers, and terminations, and update relevant documentation accordingly.
- Assist with benefits administration, including enrollment, changes, and inquiries from employees.
- Support HR initiatives and projects, such as employee engagement programs, annual surveys and some social events planning.
- Management of the annual minimum continuing legal education requirements and state bar license renewals.
- Handle employee inquiries and provide assistance on HR-related matters with professionalism and discretion.
- Keep the payroll department informed of any changes affecting payroll processing, ensuring accuracy and compliance with applicable laws and regulations.
- Reconcile benefits invoices and maintain accurate records of new enrollments, employee changes, and terminations.
- Submit and track receipts for credit card transactions to ensure accurate expense reporting and compliance with company policies.
- Schedule meetings, maintain an accurate calendar relating to HR events and deadlines.
- Prepare reports and presentations for HR meetings and presentations, as needed.
- Other duties as assigned by the Human Resources Director and Executive Director.
Qualifications & Experience
- High school diploma or equivalent required, Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- 1-2 years of experience in an administrative role, preferably in Human Resources within a law firm or professional services environment preferred.
- Knowledge of employment laws and regulations, particularly those relevant to the legal industry.
- Knowledge of principles and procedures for personnel recruitment, selection, training are a plus.
- Knowledge of benefits administration and management preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with HRIS software preferred.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent interpersonal and communication skills, with a high level of professionalism and discretion.
- Detail-oriented with a commitment to accuracy in data entry and record-keeping.

Schedule
- 7.5 hour shift on-site
- Monday to Friday 8:30am-5:00pm
