Accounts Payable Administrative Assistant – Albuquerque, NM
The Rodey Law Firm is seeking a highly organized and detail-oriented Accounts Payable Administrative Assistant to join our team in its Albuquerque office. This role is essential in ensuring the smooth operation of our Accounts Payable department by handling daily, weekly, monthly, and yearly tasks efficiently. The ideal candidate will have a strong background in administrative duties and a good understanding of accounting principles.
Job Description
- Print and organize E-File Receipts.
- Print, organize and file AMEX Receipts daily.
- Download, file and organize E-File Receipts Reports and Westlaw charges for posting to the appropriate accounts.
- Reconcile code and pay all Firm AMEX accounts.
- Keep impeccable records pertaining to daily tasks.
- Assist as needed with insurance, budget and other accounting questionnaires and reports.
- Ensure proper retention of expense report and personal account reports on an annual basis.
- Ensure proper retention of invoices on a bi-annual basis.
- Meet with newly hired staff to review Accounts Payable procedures.
- Assist AP desk as workload allows.
- Cover AP desk when Accounts Payable Clerk is out.
- Update Vendor Cost Backup Excel spreadsheet based on new/updated Client Bill Guidelines.
- Update Attorney lists (Clients Misc. numbers) and Attorney/Admin Staff employee list.
- Other duties as assigned to support the Accounting Department.
Qualifications & Experience:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in Accounting or related field preferred.
- Previous experience in an administrative or accounts payable role.
- Must have General Ledger experience.
- Proficiency with Microsoft Office Suite, particularly Excel.
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal.
- Attention to detail and ability to handle multiple tasks simultaneously.
- Ability to work independently and as part of a team.

Schedule
7.5 hour shift | Monday to Friday 8:30 am to 5:00 pm
